Help desk software for IT teams

Zoho Desk is the pick for most IT teams at $14 per agent per month billed annually, because it covers multichannel ticketing and SLA management without a contact-volume workaround. Choose Freshservice or Jira Service Management Premium instead if you need ITIL change and problem management.

Editorial policy: How we review software · How rankings work · Sponsored disclosure

Almost every product in this category does email ticketing, a knowledge base and SLA timers. What separates them is whether they bill per agent or per contact, whether change and problem management is included or gated two tiers up, and how fast the bill grows when a second department asks for a portal.

For most IT teams under 20 agents, Zoho Desk is the help desk software to start with: $14 per agent per month billed annually ($20 monthly) buys multichannel ticketing, SLA management and time tracking with no agent minimum. If you need ITIL change and problem management rather than a ticket queue, Freshservice Growth at $49 per agent per month billed annually ($59 monthly) or Jira Service Management Premium at $44.27 per agent per month billed annually is the right starting point instead.

Below, ten products grouped by the team they suit, every price with its billing basis and check date. All figures were verified against vendor pricing pages in March 2026 and change often.

What help desk software does

Help desk software is the system of record for work your team does on behalf of other people. Four capabilities make up the floor: a shared queue that de-duplicates when two agents open the same ticket, a knowledge base the portal searches before it offers a contact form, SLA timers tied to business hours, and reporting that separates first response from resolution time.

The distinction buyers trip over is help desk versus service desk. A help desk resolves incidents. A service desk adds the ITIL layer: change management with approval gates, problem management for recurring causes, a service catalogue and usually a CMDB linking tickets to assets. Vendors blur that line in marketing and enforce it hard in packaging. Zoho Desk, Help Scout and Freshdesk are help desks; Freshservice, Jira Service Management, SolarWinds Service Desk and ServiceNow are service desks, which is why those four sit in the ITSM tools category.

Classify before you shortlist. Buying a help desk when you needed change management means a migration in 18 months; buying a service desk for a five-person team means paying for approval workflows nobody configures.

Features that decide the purchase

What counts as a billable seat

This definition moves the bill more than any tier choice. Most vendors bill per agent. Requesters who only submit are free on SolarWinds Service Desk, InvGate Service Management and SysAid, all of which state unlimited submitters. Help Scout inverts the model: users are unlimited and you pay by monthly contact count. Twelve agents talking to 80 customers a month pay $50 a month on Help Scout Standard; the same team on a per-agent product pays twelve seat rates.

Automation limits, not automation

Every product has automation. The constraint is the cap. Jira Service Management Standard allows 250 automation rule executions a month, which a desk running automated assignment, escalation and notification on a few dozen tickets a day exhausts inside the first fortnight. Freshservice meters orchestration transactions and sells overage. Read the execution ceiling, not the feature bullet.

Where AI is priced

Four vendors, four commercial models. Freshworks charges $29 per agent per month for Freddy AI Copilot on top of any Freshdesk or Freshservice plan, a 59% increase over the $49 Freshdesk Pro rate. Help Scout charges $0.75 per AI Answers resolution after a three-month trial, so cost rises exactly as deflection works. Zoho Desk includes Zia only from the $40 Enterprise tier. The comparison only works once you convert all of them to annual spend at your own agent count.

Help desk software compared

Starting prices are the lowest paid tier with the billing basis stated. The last column is what decides the purchase in this category: not entry price but how the bill behaves as agent, submitter and asset counts grow.

Help desk software compared on starting price, trial and scaling behaviour. Vendor pricing pages checked 16 to 17 March 2026.

Two columns matter more than price. Floor and operating price are different products: InvGate starts at $17 per agent per month but carries a $999 annual minimum, so a three-agent team pays $333 per agent per year regardless. And only SolarWinds Service Desk and Help Scout avoid charging for the people who raise tickets, by opposite mechanisms.

Picks for small IT teams

Small means one to ten people resolving tickets and nobody whose job is configuring the tool. The binding constraint is administrative burden, not price.

Zoho Desk

Zoho Desk is the default for a small IT or support team that wants more than a shared mailbox. Standard at $14 per agent per month billed annually ($20 monthly) covers email, live chat, social channels, SLA management and time tracking with no agent ceiling, and the free tier runs three agents indefinitely. Best fit: three to ten agents handling a few hundred tickets a month across more than one channel.

The constraint is feature gating. Blueprint process automation, round-robin assignment and advanced reports start at Professional, $23 per agent per month billed annually ($35 monthly). Zia AI and multi-department support need Enterprise at $40 billed annually ($50 monthly), close to triple Standard. Monthly billing adds 35% to 50% across the range. Verified against Zoho's pricing page on 17 March 2026.

Help Scout

Help Scout answers one common shape: many agents, few customers. Standard is $50 per month billed annually ($55 monthly) for up to 100 contacts a month with unlimited users, two inboxes and workflows. A B2B software company with 15 people answering tickets from 90 accounts pays $600 a year; the same team on Zendesk Suite Team pays $9,900.

It inverts badly in the other direction. A consumer business talking to 5,000 people a month lands on custom Pro pricing and loses the advantage, and AI Answers bills $0.75 per resolution after the three-month trial. Extra inboxes are $10 a month, extra Docs sites $20. Help Scout is also not a service desk: no change management, no CMDB, no asset register, which is why Zendesk and Help Scout rarely reach the same shortlist. Verified 17 March 2026.

Jira Service Management

Jira Service Management is the pick when engineering already lives in Jira, because the ticket-to-issue link is native rather than an integration you maintain. The Free plan covers three agents permanently with service requests, basic incidents, a portal and Confluence knowledge base integration.

The step at the fourth agent is sharp: $0 to $847 a year on Standard at $17.65 per agent per month billed annually, or $2,125 on Premium at $44.27 if you need ITIL processes. Since the October 2024 packaging change, Standard no longer includes change management, problem management or advanced incident workflows, and the native CMDB and AI virtual agent are Premium only. Atlassian steps the rate down at 15, 50 and 100 agents, so ask for your volume rate before you benchmark. Verified against Atlassian's pricing page on 17 March 2026.

Picks for mid-size IT teams

Mid-size means roughly 10 to 50 agents, a named service owner and at least one process that has to survive an audit. SLA depth, submitter licensing and asset scope decide it.

Freshservice

Freshservice is the strongest general-purpose service desk in this band. Growth at $49 per agent per month billed annually ($59 monthly) carries incident, problem, change, a service catalogue and asset management. Starter at $19 billed annually ($29 monthly) is a ticket queue and should be treated as one. Pro is $95 billed annually ($119 monthly), Enterprise $119 billed annually ($145 monthly).

Three add-ons move the number. Freddy AI Copilot is $29 per agent per month on top of any plan, asset packs are $75 per 500 assets above the allowance, and orchestration transactions are metered with overage. At 25 agents on Growth with Freddy AI you pay $23,400 a year rather than the $14,700 the headline implies. Verified 17 March 2026. The Freshservice and Jira Service Management comparison is the head-to-head most buyers in this band are running.

SolarWinds Service Desk

SolarWinds Service Desk earns its place on one mechanic: unlimited ticket submitters at every tier, so supporting 2,000 staff with 20 agents means licensing 20 seats. Essentials is $39 per agent per month billed annually, Advanced $79, Premier $99, with a 30-day trial that needs no card. Essentials is thinner than the price suggests: custom fields, advanced automation, the virtual agent, network discovery and contract management all start at Advanced, and the Visual CMDB is Premier only. Verified 17 March 2026.

InvGate Service Management

InvGate Service Management is the value option for ITSM depth below the Freshservice rate. Starter is $17 per agent per month billed annually with a $999 annual minimum and a five-agent ceiling; Pro is $40 per agent per month billed annually for 6 to 50 agents and adds advanced workflows, automation connectors and deeper SLA management. Submitters are not licensed. On-premise needs the custom Enterprise tier. Verified 17 March 2026.

Freshdesk

Freshdesk is the customer-support sibling of Freshservice, and belongs here when tickets come from customers rather than colleagues. Growth is $15 per agent per month billed annually ($18 monthly), Pro $49 billed annually ($59 monthly), Enterprise $79 billed annually ($95 monthly). Pro is where multiple SLA policies, custom objects, round-robin assignment and custom reporting start, so it is the realistic tier at any size.

Two figures circulate as contradictions and are not. The widely quoted $35 is Freshdesk Omni on the Growth tier billed monthly ($29 annually), a separate omnichannel product line, not Freshdesk Pro. And Freddy AI at $29 per agent per month is additive: 20 agents on Pro with Freddy pay $18,720 a year against the $11,760 the $49 rate implies. Verified 17 March 2026. The Zendesk and Freshdesk head-to-head covers the trade-off most teams this size are weighing.

Enterprise and ITIL-heavy picks

Zendesk

Zendesk is the volume customer-support platform and prices like one. Suite Team is $55 per agent per month billed annually, Suite Growth $89, Suite Professional $115, with Enterprise and Enterprise Plus quote only. Professional is where full Explore reporting, skills-based routing and community forums arrive, so most organisations that need Zendesk need Professional. The monthly rates are higher than the annual rates and are not recorded in ITCommons research, so confirm them on the pricing page before comparing monthly figures. Zendesk Talk bills per minute and per phone number on top of any plan. Skip it if your volume is internal IT tickets. Verified 16 March 2026.

SysAid

SysAid publishes two tiers: Help Desk at $79 per agent per month and ITSM at $108 per agent per month, plus a custom Enterprise tier. Licensing is per administrator, portal end users are not counted, and total cost also factors in managed asset count and a one-time onboarding fee. ITSM adds problem, change and release management, workflow automation, advanced SLA management and custom AI agents. Ask for the asset-count schedule in writing, because that is the variable the quote moves on. Verified 17 March 2026.

ServiceNow ITSM

ServiceNow ITSM publishes no pricing. Every tier is a custom quote, licensing is per fulfiller and requester licences are generally free. Industry reporting puts Standard around $100 per fulfiller per month, Pro at $150 to $170 and Enterprise above $180; those are third-party estimates, not vendor rates. The licence is not the deciding number: reported implementation consulting runs from $150,000 to over $500,000 and total cost of ownership typically lands at three to five times annual licensing. Skip it if you are buying a help desk, because you will spend 18 months building one.

How help desk pricing works

Four models are in use, and converting between them is the whole job of a comparison. Per agent per month is dominant: Zoho Desk, Freshdesk, Freshservice, Jira Service Management, SolarWinds, InvGate, Zendesk and SysAid all work this way. Cost is linear, which is the advantage, and it punishes growth, which is the cost: 50 agents on Zendesk Suite Professional is $69,000 a year before voice. Annual versus monthly is not a rounding difference either, with Zoho Desk monthly rates running 35% to 50% above annual.

Per contact per month is Help Scout's model and the reason it reads as either cheap or expensive depending on who is looking. Quote-only per fulfiller is ServiceNow's, where the levers are multi-year commitment and module scope. Modular and metered add-ons are the fastest-growing part of the bill and the part no comparison table captures: AI copilots at $29 per agent per month, AI resolutions at $0.75 each, asset packs at $75 per 500 assets, per-minute voice, extra inboxes at $10 a month, onboarding fees.

The method is one number per vendor: agent count times the tier you will run on, times 12, plus every add-on, plus implementation. Our help desk cost per ticket calculator converts that into the per-ticket number that makes different pricing models comparable, and the deflection savings calculator estimates what a working knowledge base is worth before you pay for AI deflection. Frequently asked questions

What is help desk software used for?
It captures inbound requests as tracked tickets, routes them to the right agent, measures response and resolution time against SLA targets, and gives requesters a portal to check progress and search a knowledge base. For IT teams it is the system of record for break-fix work, access requests and password resets.
What is the best help desk software for a small business?
Zoho Desk at $14 per agent per month billed annually ($20 monthly) fits most small teams, because it covers email, chat, social and SLA management with no agent minimum. If you have many agents and few customers, Help Scout's contact-based billing at $50 per month billed annually is cheaper. If you already run Atlassian, Jira Service Management is free to three agents.
What is the best free help desk software?
Three products have permanent free tiers rather than trials. Jira Service Management is free for up to three agents with service requests and a portal. Zoho Desk is free for up to three agents with email ticketing and a knowledge base. Help Scout's free tier covers 50 contacts a month with unlimited users. All three cap exactly where a growing team hits the paid step.
How much does help desk software cost?
Published entry rates run from $14 to $79 per agent per month. The realistic operating range for an internal IT team is $39 to $99 per agent per month billed annually, because multiple SLA policies, change management and a CMDB sit one or two tiers above entry. Add $29 per agent per month for a vendor AI copilot. Rates verified March 2026.
What is the difference between a help desk and a service desk?
A help desk resolves incidents: a ticket arrives, someone fixes it. A service desk adds the ITIL layer, meaning change management with approvals, problem management for recurring causes, a service catalogue and usually a CMDB. Zoho Desk and Help Scout are help desks. Freshservice, Jira Service Management Premium, SolarWinds Service Desk and ServiceNow are service desks.
Does Microsoft have a help desk ticketing system?
Microsoft has no standalone help desk product. Teams commonly build one on Power Platform and Dataverse, or use the Microsoft 365 integrations in a third-party desk. A built solution costs Power Apps licensing plus the engineering time to maintain it, which is why most teams under 50 agents buy rather than build.
Do people who only submit tickets need a licence?
It depends on the vendor, and it is the question that moves the bill most. SolarWinds Service Desk, InvGate Service Management, SysAid and ServiceNow all state that submit-only users are not licensed. Help Scout bills by contact count rather than seats. Confirm the definition in the order form, because unlimited submitters in marketing copy is not a contractual term.

Choosing your help desk software

Work it in this order. Classify what you are buying: a help desk for break-fix, or a service desk with change and problem management. Count what the vendor will bill you for, which means agents for most products, contacts for Help Scout and fulfillers for ServiceNow, and get the submitter definition in writing. Pick the tier that contains the features you need rather than the entry tier, add the AI and asset line items at your own volumes, and only then compare annual totals.

The resulting shortlist is short: Zoho Desk for a help desk, Freshservice or Jira Service Management Premium for a service desk, SolarWinds Service Desk if your submitter-to-agent ratio is high, Help Scout if you have more agents than customers. Trial two, not five, and test the SLA calendar and the automation cap rather than the demo path. The full vendor list sits in the help desk software category.
